Flow-e 2.0 - Turn your Gmail & Outlook into Trello-like task lists 💌

What is Flow-e?

Flow-e is a visualization layer on top of your Gmail or Outlook inbox. It provides an elegant Kanban-like workflow that's combined with the ideas behind Inbox Zero and GTD. Flow-e eliminates the need for external task management tools and transforms your inbox into a central To-Do app.

The team has been absolutely amazing in these last 6 months in addressing all the feedback they received at the MVP launch. There is nothing better than hearing back from the team with news on the features you’ve suggested. What’s even better is seeing a new realease message with half of my bucket list in there ;) I’ve stopped using any other clients for my emails. Now there is also a mobile-friendly web version too. i guess a mobile app is my last wish on the bucket list. Great job!
Dimitar Karaivanov
@dimakanbanize Thanks, Dima, much appreciated! Mobile is surely coming up further down the line!
Michael Salas
@dimakanbanize @dimitarkaraivan A quick and easy way to get this on your mobile could be allowing the ability to file emails into a particular email folder (i.e "To Do") that will appear in your task board under "To Do" when you access to web app. Is this something being considered ?

Best app I've seen in a long time that tries to reinvent the experience and workflow of processing email. The last one being https://emailgame.baydin.com/. Nicely done - and I don't say that lightly!

Pros:

Gorgeous, thoughtful UI. Highly functional. Solves real problems!

Cons:

No real "cons" yet, but I wish it allowed exporting tasks to 3rd party systems.

Mila Chervenkova💪
Thank you Eric! Will suggest it to the team!

Hello everyone, Mila from Flow-e here! 6 months ago we cooked our first MVP (https:///flow-e.com), and over the course of 6 months, our product recipe has improved drastically! Today Flow-e is a well-baked product. Our new design is clean and soft like a marshmallow, and our power-ups (features) are like free-range eggs from the finest bio-farm in Bulgaria. 🚀🚀 Luckily, today, Flow-e is FREE. 🚀🚀 Flow-e deals with the chaos in your email inbox. Let’s see what’s new and explain how the coolest email productivity app with the sickest workflow works: 1) Email + Task Management Flow-e takes you to Inbox zero and beyond by turning your Gmail or Outlook mailbox into a visual task board. Personal tasks and emails are now managed from your mailbox in a visual workflow, customized for your process. 2) Visualize your calendar Your daily schedule is visualized in a timeline. Setting up meetings and reminders without leaving your mailbox is a click away. 3) Track your delegated tasks Delegate work to your team without leaving your inbox and without sacrificing accountability. 4) Never forget an important email Stay on top of what's current with due date reminders. Focus on your work, Flow-e's got your cues covered! And what’s new in this version? » First and Foremost: WE ARE FREE! Yay! » New design and improved usability » Add notes, to-dos, and due dates to emails » New functional timeline view of your calendar, AM/PM timeline » Setup automatic BCC » Assign and track emails to your Flow-e contacts » Add multiple email accounts from Gmail and Office365 » Schedule an event from email, add notes, create recurring events » File drag & drop in the email compose » Add background color/picture to your board » Super cool signature generator » Shortcuts/hotkeys » Workflow in a compact view » Send standalone card as an email, copy your existing tasks Team Flow-e is here all day to answer your questions, so if you have any recommendations and feedback to share, or to just ask “What’s the difference between Flow-e and Product X,” you are more than welcome to do so! Thank you! Mila and the Flow-e Team

@milachervenkova I’m always hesitant to allow free software to become an important part of my workflow. You can’t provide a free service forever, so what’s your plan for monetizing?
Mila Chervenkova💪
@howard_keziah Hey Howard, we do have a paid subscription - it is $5/month/user and the different is that you can add more that 2 email accounts and you can use our Delegate feature.
Ben Potter
Looks amazing! I've got to try it out :)
Dimitar Karaivanov
@bpmct Thanks Ben, I must tell you I'm addicted to Flow-e. Be careful! :)
Ben Potter
@dimitarkaraivan It completely changes the way emails are managed! How are spammy/newsletter emails handled? For a while, I would always subscribe to newsletters in order to get as much value as possible, but now it floods my emails. I'm unsubscribing now but some I do enjoy. Does Flow-E have a way to sort these from genuine emails?
Mila Chervenkova💪
@bpmct Hi Ben, yes. You can filter what comes into your email inbox feed. So you have to click on your Profile picture -> Settings -> Labels (assuming that you are a Gmail user?) Uncheck all the labels and folders you don't want to see in your email inbox feed. :)
Dima Frost
@bpmct @milachervenkova another option is using columns for different kind of content. Simply mark emails you don't want to see now as "Done" and move other emails into "Reading List" column or something like that. What I've noticed, the morning ritual of briefing through emails, marking some done and moving others into different columns helped me notice which ones are consistently dismissed. Then I just unsubscribe from those.

😻

This is exactly what I need for gmail+cal+tasks+checklists

Pros:

Logic, drag-and-drops, conversion from email to task

Cons:

Needs optimization: tab freezes. Too much options

Dimitar Karaivanov
Thanks for your feedback Nelly, we will be improving flow-e for sure, feel free to submit an issue if the freezing problem occurs again.
Steve Ranford

Flow-e has sticking power for me... I wrote about my first 10 days here:

http://blogs.warwick.ac.uk/steve...

Pros:

Email & Tasks in the same happy place, ease of setup, handling multiple inboxes (and not just gmail!), really helpful 'power-ups'

Cons:

No mobile app yet

Mila Chervenkova💪
Hey Steve, thank you so much for your support! We are aware that the majority of our users want an mobile app and we are looking into a solution. :)
Brad Helmink

I've been using this for close to a year now and they have been super responsive to my requests and support issues, which is great! I was always unorganized with my email, but now I can put them in my separate lists and easily get through them. I love it.

Pros:

Nice UI, drag-and-drop, visual organization, ability to create custom lists

Cons:

auto-populate emails when composing doesn't work well, not real-time,

Dimitar Karaivanov
Thanks for the review, Brad, much much appreciated :)
Dimo Barev

It's good to see the product being developed with care and by people who listen to their users.

Pros:

Easy to use, has a ton of features and you can customize it based on your needs.

Cons:

Need real time update feature.

Dimitar Karaivanov
Thanks, Dimo, the realtime update is something that we plan to do very soon. Stay tuned :)
shimomuu
I love the way of showing 'timeline' ;) But I use Inbox by Gmail on my iPhone, and I cannot reflect the operation each other: done(read), not read(Inbox) etc, maybe?
Mila Chervenkova💪
@shimomuu Hey, Flow-e is build with the Kanban method in mind. Here is how you can take advantage of Flow-e, creating your own personal Kanban board - https://flow-e.com/personal-kanban/
shimomuu
@milachervenkova thanks, so baed on that should I create my own one? Ok :)
Mila Chervenkova💪
@shimomuu Yes, here are 6 example Kanban boards - https://flow-e.com/personal-kanb...
shimomuu
@milachervenkova thanks for the helpful link :) Btw, I found that there might be a timelag to see my emails on different way(1. flow-e, 2. Gmail) that is the reason why I thought it didnt reflect on the operation on Gmail.
shimomuu
@milachervenkova Sorry, I just checked that again. And there is no timelag, thanks for your quickly update ;)
Dre Durr💡
The UI is very sexy. Definitely something that I will try out for awhile. What is in your stack? Why did you build it? dope 🚬
Dimitar Karaivanov
@dredurr Hey Deandre, thanks for the comment. Yep, the UI is really nice, our team worked super hard to get it to where it is. The stack is dotnet core with our own open source CSS framework that you can check here: https://kanbanize.github.io/eve/ We built Flow-e, because each email is a task and we just thought we should treat it as such. Besides, having tasks and calendar all in one place is super handy and addicting :)
Samuel
suggestion : would like to have a stronger contrast between read / unread messages, to help w/ faster email processing. A darker shade of blue for unread, or even black, would suit me.
Tomasz Piotrowski

This is what I need until email is finally killed because I think it's an old format which should die sooner than later!

Pros:

1. Great design.

2. Well working tasks and e-mail management.

3. All I need in 1 place!

Cons:

None yet...

Dimitar Karaivanov
Thanks for the comment Tomasz, great stuff!
Dean Wendt Voiceover
Excellent visual email system. Highly recommend to organize your priorities in email. Only wish it updated in real time.
Dimitar Karaivanov
@deanwendt Dean, this is one of the things we will prioritize in the coming months. Thanks for the support!
Braunson Yager
I just signed up and it seems broken. After authorizing Flow-e for my Gmail account it takes me back to Flow-e's todo dashboard but it's empty and says "loading" -- When opening the console the call to https://api.flow-e.com/users/me/... returns a 401. :(
Dimitar Karaivanov
@braunshizzle we're on it, sorry for the trouble.
Dimitar Karaivanov
@braunshizzle Can you try again? Seems to be working on our end, but tried a different config.
Dimitar Karaivanov
@braunshizzle Is this a gmail account? Is there anything special (shared account, behind firewall, etc.)?
Braunson Yager
@dimitarkaraivan Yes a Gmail account, nothing special, I've even tried a different connection on a different computer.
Dimitar Karaivanov
@braunshizzle strage... we'll try to figure out what's going on. Thanks for your patience.
Jason Safaiyeh
Love the design. I would love to use this just as an email client. Hiding the TODO view would be cool. Then calendar on the bottom is great.
Dimitar Karaivanov
@safaiyeh Hey Jason, thanks for the comment. If you go to the powerups panel (button is in the upper right corner) you can switch off the todos if you don't need them. Feel free to send us your feedback as you gain more experience with the tool :)
Luis Reigosa

It's not only the most elegant way to bring Kanban or GTD models to the email management , but it is also effective and practical.

Having experimented with other tools and methods to handle a high volume of mail, I'm convinced that the Flow-e team has really achieved it.

It's useful from the first minute and the permanent evolution that it's having shows a formidable future perspective.

Pros:

Intuitive, beautiful interface, constant improvement, customizable workflow, ...

Cons:

Some things to do but ... they are doing it!!!

Mila Chervenkova💪
Hi Luis, thank you for being here and caring for the product!
Malian
It is amazing! This product has really won me over. @milachervenkova Can I join files to a task card? For example, when I need to send an invoice or read a contract, it could be great to add this file to the task card? In Inbox from Google, I like the ability to postpone a mail at a specific day. I use this to clean my inbox and to remember me something important at the right time. As an example, I receive a mail from my dentist to do the annual checkup. I want to receive the same mail, 3 months later. I don't like the idea to put it in an "Follow-up" column. Is something like that planned? Anyway, the team has been doing an amazing job!
Mila Chervenkova💪
@malianderon Hi Malian, thank you for reaching out. So attaching files to standalone cards is a feature coming soon. Regarding the Snooze email option. This is tricky because behind Flow-e is the Kanban/GTD/Inbox Zero productivity methods, where you are urged to act on each email/task. For example, in your case, the place for your dentist annual checkup is not even in the email inbox, it should be put on your event calendar. :) In Flow-e, from that email, you can create an event, and you will be reminded when the time comes. Fun fact: I like going to the dentist. :)
Laura Tejerina (जीत)

I use Flow-e on a daily basis to manage both my work and personal email accounts. I'm very happy with it!

Pros:

The best way to organize your emails as soon as they get in your inbox.

Cons:

Sometimes the messages may have a slight delay before reaching your inbox.

Mila Chervenkova💪
Thank you, Laura! We will start working soon on a faster way to deliver emails in the inbox. :)
Scott Bowler
Who made your demo video? Would love to hire them to do one for us!
Mila Chervenkova💪
@scotty_bowler Hi Scott, we will take this as a compliment! :))) :D
Mila Chervenkova💪
@scotty_bowler Thanks, being serious, the video is made by our very talented designer - @khatib (but pls, don't steal him from us:) )
Michael G
This is an incredibly useful, and interesting product that I’m definitely going to be using!
Mila Chervenkova💪
@mgvdev Thank you Michael! Send us a message if you need any tip :)))
