Do you use any tools to plan your recurring tasks? How do you balance between building, marketing, sales and other activites

I generally like to plan in thirds , 2 weeks 1 week and each day. 2 Weeks can be a ways away, and a lot can come up, but this helps "frame" my next weeks ahead (including recurring tasks and tasks with the team)
The each day planning is most important to me. At the end of the day, I write a list of tasks, things I need to do for tomorrow. The following morning I'll refresh myself on the tasks and plan for no more than 10 minutes.
I then place in 1-2 hour blocks of things I call "must - dos" This includes marketing, sales, and sometimes just an hour of good old staring at the wall thinking. During these blocked hours, I focus solely on what the block entails. Emails, phone calls, can all wait until that time is up. (of course unless its an emergency)
I also set these blocks on a weekly duration. For example: Marketing I will spend 1 hour per day with the team. Thinking I will do every other day for 1 hours. Etc Etc
Feel free to customize your blocks to however you need. The block system helps me stay focused on multiple things without getting overwhelmed by a pile of "to dos"

@skillprepare your are one of the top planned builders i guess! kudos to keep up with the routine
how do you manage when work from a block spills over. do you track that actively and push the rest of the things outside. do you use just pen and paper here

Blocks do spill over all the time, so what I do is a swap technique where ill move a task block that I know wont take a full hour to right after that overflowing block. This helps keep the hours on track as best as possible. (although it does always run a little over, just something you need to always compensate for) Just have to stay disciplined to your time blocks, it takes practice and can be a pain at first, but once you get in a routine it starts working well.
I use a mix of pen and paper / calendar. Calendar to load meetings , etc. And a pen and pad on me every day for everything else ( I also add anything from the calendar in this list)
I carry my notebook with me everywhere (small little journal style) Every day is a new page. It does help to go back and see progressions. I've tried using a digital list tracker and other software. (outside of project management for the team) and I just found writing it down physically has more effectiveness.
